Position Description:
  • Assist in updating inventory listing, verification, preparation of regular inventory report and general    asset management.
  • Ensuring an effective stores management and tracking of supplies usage by projects where all expenses are effectively monitored and charged to the appropriate projects.
  • Maintaining proper records of office vehicles service schedules, repairs, fuel consumption reports
  • Ensuring the effective and efficient use of all FHI360 resources and ensure cost effectiveness in operations.
  • Communicating with vendors and other service providers on behalf of the organization on issues   pertaining to procurements and support services.
  • Provide administrative and logistical support to field offices, tracking resources to staff and projects.
  • Solicit for quotations/ bids from Vendors and check them for correct and completeness as per Project specifications and requirements
  • Preparation of procurement request and quotes analysis systems for review and approvals.
  • Ensuring required supporting documents for all procurements with valid justification for selected Vendors.
  • Prepare local purchase orders for reviews and approval and distribution to Vendors.
  • Support in fleet management services and insurance issues arising on fleet in Nairobi and the field offices.
  • Assist in preparation and reviewing of tax exemption forms for timely submission to USAID and maintain a database which is shared with the program Directors on a quarterly basis.
  • Assist in maintaining and establish effective record keeping systems for documents in Administration both manually and electronic.
  • Coordinate with team on a regular update of operations reports and submission to Management.
  • Performs other duties as assigned by the Supervisor.

Minimum Requirements:
A Higher National Diploma in Procurement or Business Administration or related field with at least 3-5 years’ experience in a similar position or Bachelor’s degree in the same field with 1-3 years progressive experience in administration, procurement and office management.
Logistics Assistant – Warehousing and Distributions

We seek qualified candidates for the position of Logistics Assistant – Warehousing and Distributions in Nakuru, Kenya.
Position Description:
  • Responsible for the daily operations of the project warehouse and stocks and preparation of stock reports in a timely manner as per the project reporting requirements in a timely manner.
  • Responsible for developing and implementing logistics Standard Operating Procedures and practices for the project and ensures maintenance of up to date inventory of warehouse items and timely maintenance of inventory control cards.
  • Responsible for receiving, inspecting and verifying all incoming materials and reconciles with purchase orders and delivery notes and tracks damages and discrepancies on orders received.
  • Responsible for Tracking of commodities and reporting of the same as per APHIAplus specifications.
  • Responsible for distributing commodities to the respective targeted recipient population as per approved project plans.
  • Responsible for ensuring regular stock count of commodities or items under distribution at the course of distribution exercise.
  • Prepare monthly warehouse inventory report to be shared with the supervisor
Minimum Requirements:
Diploma in Business Administration or Purchasing or relevant field with 1-3 years progressive relevant experience or Higher National Diploma with 3-5 years of relevant experience in Logistics Management, or Purchasing and Supply Management. 


Procurement Officer

We seek qualified candidates for the position of Procurement Officer in Nakuru, Kenya.
Position Description:
  • Ensure that professional relationships are maintained and suppliers are managed objectively to deliver all products and services.
  • Responsible for negotiating with suppliers to deliver best value to the organization, implement and manage supply agreements for the company.
  • Responsible for preparing and presenting supply strategies for OVC products which ensure an ongoing delivery of Quality products at a cost competitive supply in support of the program.
  • Responsible for monitoring and obtaining best price for office expenditures,  approves  payment of invoices and directs them to finance for payment.
  • Member of the committee for the selection of appropriate suppliers and contractors, to promote good procurement practice with due regard to sustainability, ethical purchasing standards and costing.
  • Responsible for negotiating equipment maintenance contracts.
  • Responsible for analyzing, interpreting and where required present the results of market analysis, tender results and strategic recommendations to senior management and internal and external auditors.
  • Establishes market knowledge for products and suppliers is an a “expert” to whom others colleagues can turn for advice for key products / suppliers
  • Brief program colleagues on market developments which may impact upon supply as and when required to do so.
  • Reviews, analyzes and approves all purchases where award is not made to the low bidder to ensure justification exists and policy is followed and addresses unauthorized purchases.
  • Resolves problems and protests concerning bid solicitations, meets with or speaks to interested vendors concerning potential source for supply and service.
  • Develops and maintains an effective working relationship with vendors and fosters relations between suppliers and APHIAplus Project
  • Participates in internal meetings, promoting procurement best practice

Minimum Requirements:
BA/BS with 3-5 years’ experience in a procurement role within the NGO sector, or a Diploma in Purchasing and Supply Management or relevant field with 5-7 years progressive experience in a procurement role within the NGO sector.   Chartered Institute of Purchasing & Supply (CIPS) Qualified. Experience of using professional procurement tools and techniques, experience in running a structured tender exercises for products or services, have lead successful supplier negotiations with third party companies, experienced negotiator who has successfully delivered supply solutions for a large project and have an understanding of the overall USAID rules and regulation and the regulatory environment in which FHI 360 works.
