Administration Officer
Job Purpose Statement
To provide effective and efficient day to day administrative support to Head Office to ensure smooth operations. Manages all office supplies covering utilities, stationery and archive stores by ensuring that needed supplies are re-ordered, received, stored and issued to users in an efficient and optimal manner as per laid down procedures.
Responsibilities
- Utilities and stationery management and control: Monitor consumption, stock and re-order levels; and distribution of resources.
- Management of the kitchen/hospitality stores.
- Records management and control.
- Follow up to ensure that goods and services ordered are received as specified
- Management of company transportation including maintenance of the company owned vehicles, maintenance of company furniture, fitting and fixtures and equipment register.
- Management and supervision of cleaners.
- Assist in processing of payments to bank's suppliers under the supervision of Head of Finance& Administration.
- Assist in the organization of and participate in Public Relations events and sponsorships.
Qualification & Experience Requirements.
- Secretarial and office administration certificates.
- Certificate in procurement and/or logistics management would be an added advantage.
- 3 years' experience in central administrative role in a small to medium size organization.
- Practical experience in use of relevant MS Office applications.
- Technical skills to effectively perform administration activities/tasks in a manner that consistently achieves high quality standards or benchmarks.
Credit Analyst
Job Purpose Statement
To provide financial information and analysis, including market intelligence for use in the preparation of credit reports. In liaison with the Relationship Managers, prepare credit reports for review by the credit committee.
Responsibilities
Corporate & Business Banking
- Provide and analyse financial information for use in the preparation of credit reports
- Review of credit requests including review of financial and credit information provided in respect to the corporate, business and personal clients
- Assist in the financial evaluation of new business/projects and provide a guide on market risk.
- Prepare credit reports for new proposals and renewals and provide guidance on structuring of credits, due diligence and KYC so as to ensure that credits meet CBA standards.
- Maintain financial information on loan accounts including financial covenants, spreads and interim reports
- Monthly evaluate and interpret performance reports of Corporate/ Business Banking and assist in the assessment of progress against the department's score card and budget
- Conduct periodic economic analysis, industry studies, self assessment and stress tests and recommend strategy and plans of action vis a vis the bank's credit portfolio
- Proactive monitoring of the credit portfolio to ensure early detection of problem credits.
- Prepare excess report for review by Relationship Managers
- Undertake annual review of security documentation for all corporate accounts
- Assess profitability of each relationship and generate monthly report on the same
- Counter check that interest rates are correctly applied on loan accounts
Personal Banking
- Receive Personal Banking Credit Facility applications from Relationship Managers and use them to prepare credit requests, and submit these for approval.
- Ensure that the approval procedures, standards of credit and maintenance conform to established controls/procedures.
- Ensure that the Personal Banking product profiles are adhered to, and ensure that applications that fall outside the product profile are properly authorized at the correct senior approving level.
- Ensure that overdraft facilities are reviewed in a timely manner
- Communicate to relationship managers on the status of their loan proposals
- Ensure that decisions on credit applications are made within the required turnaround time, and in the event of delays, ensure appropriate escalation
- Review loan defaults on an ongoing basis for signs of credit deterioration, and initiate remedial action in the form of warning letters.
- Prepare notices to customers to advise them of overdrawn accounts, and where the accounts are not funded, prepare account closure notices
- Monitor daily temporary excesses to ensure that accounts are funded within the approved period.
- Prepare memos for legalization of overdrawn accounts and overdue loans
- Enhance customer satisfaction and strengthen relationships by providing high level of service based on accuracy, responsiveness and turnaround time for credit applications.
Qualification & Experience Requirements.
- University degree preferably in Accounting, Finance or Management
- Associate of Chartered Institute of Bankers (or equivalent) strong advantage
- Three years banking experience
IT Support Manager
Job Purpose Statement
To ensure the smooth running of all Information Communications Technology (ICT) systems and that the users get maximum benefits from these systems, within agreed Time limits.
Responsibilities
Problem Management
- Analyse, troubleshoot, tiagnose and assess ICT related incidents and faults, provide first-line solutions and escalate issues to group Support Center when necessary.
- Provide 24 hour on-call support for users and systems in CBA Uganda and provide remedial actions so as to observe service level agreements with business.
- Coordinate all ICT related activities in-order to provide robust solutions, pre-emptive actions and adequate plans by managing all external vendors and working closely with the group support centre and other pertinent stakeholders.
- Ensure that technical solution resolves the business problem by providing expert guidance in effective translation of business requirements into robust technical solutions.
- Ensure system components are correctly integrated, tested, documented and implemented within established parameters, procedures and timeframes
- Keep effective records on related expenses and budgets.
Change Management
- Ensure user, operational, system and security acceptance tests are performed and coordinate implementation of changes and/or new systems as per the group change management policy, while ensuring that all the documentation is accurately maintained, including post-implementation evaluation.
- Ensure proper implementation and installation of ICT systems in cost efficient and effective manner that safeguards the bank's interests.
Risk Management
- Implement and maintain ICT systems for Disaster Recovery / Business Continuity while ensuring availability, capacity and serviceability of these systems.
- Monitor and evaluate performance of technology within the bank.
- Comply with Fraud prevention, Group Money Laundering Prevention Policy and Procedures to the extent applicable and reporting all suspicious transactions to the Line Manager.
- Conducting electrical safety checks on computer equipment.
Security Management
- Ensures that all bank's data is backed up and secured appropriately while all security aspects are implemented as per the Bank's IT Security Policy and guidelines.
- Maintain and ensure pertinent procedures and policy documents are current.
- Pre-emptive risk assessment with subsequent application of authorized interventions; review and implementation Audit requirements and recommendations.
- Ensure adherence with the Group's technical and security standards in all aspects of the technical activities.
Capacity Planning
- Monitor System Performance of all core servers, routers and WAN links to ensure optimum efficiency.
- Establish and maintain beneficial working relationships with all pertinent stakeholders including Customers (internal and external), Vendors and Group support staff.
Qualification & Experience Requirements.
- University Degree in Computer Science
- Industry Standards Certifications such as A+, MCSE, OCP, MCP, etc.
- Certification or Proven working knowledge of CISCO technologies.
- 4 years experience in implementing and supporting hardware, enterprise systems and networking systems.
- Proven Systems and business needs analysis with experience in providing first and second level solutions, technical incident management, problem management and support services to business end users.
- Experience in supporting either an accounting or a banking system for a minimum of a year will be desirable.
