IB and CAS/ASA Administrative Assistant

The International School of Kenya is seeking to fill up an Administrative Assistant Position
The job includes supporting the administration of the school’s IB and co curricular programs, while contributing to the efficient running of the High School Office. The scope of the work includes but is not limited to liaising with students, parents, and other school personnel whilst maintaining accurate records. This position is highly confidential, providing broad organizational and secretarial support to the respective offices and requires someone who takes initiative, is flexible and can multi task with strong IT skills.
Reports To: IB Coordinator and CAS/ASA Coordinator, HS Principal
Scope of Responsibilities: Provide administrative support for the IB and co-curricular programs.

General Duties:
  • Attend to requests for typing, photocopying and other work assigned.
  • Prioritize work to be completed each day.
  • Schedule appointments.
  • Manage effective telephone and email communications.
  • Welcome and help parents, students, and others visiting the office.
  • Follow up on families whose files/documentation are incomplete.
  • Maintain the files and ensure the confidentiality of paperwork.
  • Become efficient with communication and reporting systems, maintaining timelines and providing feedback to faculty.
  • Be alert to and make recommendations for any possible improvements in the office routines.
  • Help ensure the smooth running of the office and handle requests for information.
  • Keep notice boards, parental communication and faculty communication current.
  • Take initiative around work that needs to be done.
  • Coordinate meetings, functions and take minutes.

Specific Responsibilities for CAS/ASA Program:
  • Prioritize work to be completed each day.
  • Maintain accurate files for Service Learning, ASA’s and IC trips both electronic and paper.
  • Maintain HS/MS/ES databases for non-sporting activities, including the co curricular program and service learning program.
  • Prepare co curricular programs ES, MS & HS.
  • Maintain electronic club and service project attendance records. Follow up absenteeism.
  • Prepare reports for CAS students.
  • Allocate Advisors to all students, maintain co curricular and CASL databases.
  • Prepare and revise CAS and Service Learning information booklets for distribution in the ES,
  • MS and HS.
  • Prepare a yearly co curricular calendar.
  • Assist in the preparation of co curricular stipend payments and divisional budgets.
  • Maintain student information centres and co curricular boards around campus and in front of
  • the HS office.
  • Ensure Link submissions meet deadline requirements and photos are printed and up to date
  • for all publications.
  • Assist in the preparation of service learning projects such as transport, registers, medical kits
  • and communication with parents and advisors.
  • Assist in preparation and organisation of HS IC trips.
  • Maintain and update web site and moodle pages for co curricular department.
  • Ensure external instructors have filled out personnel records.
  • Perform other duties that may enhance the efficient operations of the co curricular department.
  • Assist in the preparation of IB payments and the IB budgets.
